Executive Assistant to Executive Publisher

A leading trade publisher is looking for an outgoing and ultra-organised Executive Assistant to support a busy Executive Publisher in their central London offices. You will have an understanding of the publishing industry and have a natural affinity to think ahead, problem solve and work independently using own initiative. This is a 6 month maternity cover role to start as soon as possible.

Key duties:

  • Diary management and organise meetings

  • Book travel and accommodation

  • Manage queries, liaising with authors and agents

  • Act as key point of contact for Authors and assist with Author office visits

  • Book in-house meeting rooms or outside venues including webinars, dial-in conference calls and Video Conference

  • Preparation of PowerPoint presentations /Word documents

  • Field telephone calls, deal with post and correspondence

  • Collate information from Senior Editors/editors for monthly reports and editorial recommendations

  • Preparing weekly reports such as acquisition , royalty reports, and researching/data gathering

  • Manage requests for editorial resources such as competition judging, blogs, PR, workshops

  • Maintain records pertaining to team members

  • Manage expenses, code invoices

  • Additional support for ME team during busy periods e.g. ordering author copies

     

Experience / skills required:

  • Solid experience working as a PA /secretary

  • Experience/Knowledge/ appreciation of the publishing industry

  • Highly organised and calm under pressure

  • Very good knowledge of Microsoft Office

  • High attention to detail

  • Communication skills, written and verbal, must be professional and clear but with a friendly approach

  • Flexibility and willingness to turn their hand to everything required

  • A ‘can do’ attitude
