Office Manager

Abrams & Chronicle Books is a highly successful publisher and distributor of illustrated books and stationery product. We’re currently looking for an Office Manager to support the team and run our busy office at Smithfield. The ideal candidate should be highly organised, approachable and professional. The job is busy and varied, and you need to be prepared to turn your hand to anything – whether preparing mailings, organising couriers, arranging meetings or planning events.
Key Tasks and Responsibilities
Office administration
- Front desk duties
- Order stationery and all other office supplies
- Petty cash management
- Administration of employee schemes
- Mange deliveries, post, couriers and recycling
- Update contact lists
- Holiday and sick leave monitoring
- Meeting and greeting guests, preparing meeting rooms and coordinating diaries
- Managing company events and meetings
- Responsible for the relationship with building management, IT and telecoms infrastructure and Health & Safety practices, office suppliers and key service renewals
- Making sure that the fixtures, fittings and furnishings are well maintained and fit for purpose
- Ensuring the work environment is professional and welcoming to visitors and fulfils the needs of the staff, including office supplies and refreshments
Team assistant duties
- Admin support for the Export and Special Sales teams
- Help organise trade fairs, trade shows and sales conferences
- Oversee company calendar
- Arrange and coordinate twice yearly catalogue mailings
- Organise, track and distribute advance copies of books
- Assist with mailings
- Support Managing Director and Finance Director
The Person
- A friendly, approachable and professional manner
- An excellent communicator who builds trusted relationships with people at all levels
- Energetic, reliable, adaptable and used to using their initiative
- Highly organised, great attention to detail and a focus on getting things done
Skills and Experience
- Experience of working in a professional office environment in an administrative role
- A confident user of Microsoft Office (Outlook, Excel, Word, PowerPoint)
