The opportunity
The Assistant Editor will provide administrative and project management support for the development of Major Reference Works (MRWs) which are deployed in our flagship digital resources and ebook and print products. This role sits within Bloomsbury Academic; an award-winning division of Bloomsbury, publishing around 1,000 titles each year in the Humanities, Social Sciences and Visual Arts and with an ambitious programme of innovative digital products both launched (Drama Online, Bloomsbury Fashion Central) and in development. The role reports to the Editorial Director Academic Major Reference
 

The Role

Administrative Support
•    Providing support to the Editorial Director for MRWs and the Publisher for Reference in preparing their projects for approval; creating and maintaining book records in Biblio 
•    Preparing and maintaining accurate records on internal databases; generating reports
•    Scheduling meetings 
•    Overseeing the transfer of signed contracts into physical storage 
 

Major Reference Works 
•    Issuing contracts to MRW editors and contributors
•    Preparing and distributing editorial guidelines documentation to MRW editors and contributors
•    Setting MRW schedules; monitoring MRW editor performance
•    Overseeing and administering the content submission process to ensure MRW projects move forward efficiently and according to their schedules 
•    Liaising with MRW contributors to ensure they have the information they require to submit their articles; attending to contributor queries
•    Managing the flow of information and content to MRW editors and contributors to ensure that all content is complete and has been reviewed and revised according to the directions of the MRW editors
•    Collating and briefing manuscripts and image content for multi-volume works to production 
•    Managing copyright permissions for images and other third-party content
•    Administering payments to editors and contributors as required
•    Producing tailored reports for external editors and for internal editorial teams, as required
•    Liaising with external editors to ensure that queries are answered and issues are addressed
•    Supervising freelance project editors
•    Reporting to the Editorial Director for MRWs on the progress of the programme, highlighting issues with individual projects
•    Producing minutes from meetings with external editors and/or internal stakeholders
 

Information Management System Development
•    Working with our external partner, Librios, to initiate and customize the Information Management System for different categories of Major Reference Works
•    Working with the Editorial Director for MRWs and Librios on system enhancements 
•    Monitoring content management systems from other external suppliers to ensure that the Librios system is ‘best in class’
 

Skills, knowledge, experience
•    Graduate or equivalent with a minimum of one year’s publishing experience
•    Meticulous, efficient, well-organized with a keen eye for detail 
•    Flexible approach with ability to prioritize effectively 
•    Good time management with ability to meet deadlines 
•    Strong IT skills including working knowledge of Microsoft Office and proficiency in Excel
•    Enthusiastic team player, able to build good relationships with external editors as well     as colleagues
•    Excellent communication skills
 

This role is based at our Oxford office, Kemp House, Chawley Park, Cumnor Hill, Oxford, OX2 9PH.
