Advertising and Finance Co-ordinator

We've reported on every significant book trade event, from the launch of George Eliot's Mill on the Floss in 1860 to Allen Lane’s launch of the paperback to the demise of the Net Book Agreement in 1995 and today’s Amazon-led competitive struggles. We are at the heart of book publishing in the UK.

 

PURPOSE
To be a key part of the commercial and finance teams at a magazine that is at the heart of book publishing. A highly organised and proactive person, you will provide effective administration support across advertising sales and finance functions.  With a busy schedule of events and a weekly magazine, your work with be interesting and varied.

 

KEY RESPONSIBILITIES - Sales

  • To establish, manage and maintain departmental project management and administrative systems including booking systems, CRM databases, Salesforce and Eventsforce. (Full training will be given on all department systems, however experience using project management and CRM systems would be an advantage.)
  • Monitoring and optimising online campaigns.
  • Managing a continuous calendar of advertising campaigns including checking and approving artwork, tracking campaign success and compiling client reports.
  • Ensuring up-to-date record keeping and clear information management.

 

KEY RESPONSIBILITIES - Finance

  • Assist in generating, posting and dispatching accurate invoices. Perform basic credit control duties on the phone and by email.
  • Updating financial records and nominal ledger on Sage Line 50.
  • Assist in posting company expenses onto Sage.
  • Producing intercompany financial reports and reconciliations, to ensure correct balances on the system.
  • General administrative support

DESIRABLE ATTRIBUTES – we certainly wouldn’t expect you to have all of these, but a good mix of them would be advantageous.

  • Experience of working in a busy office environment; excellent administration experience.
  • Experience working in a finance/credit control role
  • Excellent interpersonal, written and verbal communication skills.
  • Strong organisational skills, to multitask, forward plan, prioritise and work to deadlines.
  • A proactive approach to all work tasks, with an ability to problemsolve independently.
  • Ability to work on one’s own initiative, independently managing tasks and projects.
  • The ability to easily build a rapport and good working relationships with the team and wider stakeholders and customers.
  • Accuracy and attention to detail.
  • Computer literate in Microsoft Office packages.
  • Prior experience of project management and CRM systems.
  • Excellent diary keeping and time management skills.
  • An interest in books and publishing.
  • An unfailingly positive attitude.
