Publicity Assistant

Reporting to: Trade Communications Manager & Publicity Lead                  

Permanent:    Full Time Contract

Salary:           Circa £20,000 to £22,000 depending on experience

Job Summary

Yale Press seeks an enthusiastic Publicity Assistant to administer and disseminate press cuttings, assist with campaigns, and facilitate the smooth and successful running of daily operations and publicity outreach efforts. An ideal role for an entry level candidate seeking all round publishing experience within a vibrant and collaborative communications team.

Purpose of job

  • To facilitate the smooth running of daily operations and success of publicity outreach efforts across all teams within the marketing department, disseminating results to internal and external stakeholders.
  • To administer the London office prize submissions process; including staying up-to-date with relevant awards, maintaining and developing a prizes database and making timely title submissions.
  • To assist with campaigns for select titles under the supervision of the Trade Communications Manager and Senior Publicist.

Key tasks

  • Publicity administration: including responding to review copy requests, securing bookings for author travel/accommodation and other administration as required to support trade publicity efforts.
  • Press clippings: overseeing the UK office review coverage process from review quote selection through to producing a weekly publicity report and entering quotes onto the company database - ensuring these are successfully processed onto YUP’s online sites and Amazon.
  • Prizes: administering the UK prize submissions process, including awareness of relevant prizes/title fit, liaising with authors and editors, maintaining the UK prizes database and making timely submissions, as agreed by the marketing and editorial managers.
  • Bookseller submissions & trade updates: making regular title submissions to the Bookseller, managing Waterstones weekly publicity updates, and keeping the sales teams updated with seasonal media roundups when required.
  • Publicity campaigns: outreach and author care for smaller title campaigns, including creating effective press releases, some pitching to print & broadcast media and securing events.

Other Duties and Responsibilities:

  • Contribute to the maintenance and upkeep of publicity records and the Gorkana database.
  • Support publicity, sales and marketing colleagues at launch parties and events as required.
  • Assist with general publicity department admin as required, including contributing to team calendars.
  • Coordinate with marketing colleagues about author requirements - e.g. event flyers.
  • Attend regular meetings as part of the department and company and as relevant to this role.
  • This is a developing role. The job profile is not exhaustive and may vary in line with changes in the team’s objectives.

Person Specification – Key knowledge & skills

Essential:

  •    Excellent organisational skills and ability to plan and meet deadlines
  •    Some knowledge of UK print and broadcast media  
  •    Conscientious and  meticulous, able to check and copy-edit own work
  •    Good writing skills and an ability to communicate effectively with a range of both internal and external stakeholders
  •    Confident user of MS Word and Excel

Desirable:

  •    Familiarity with Gorkana or a similar media intelligence solution
  •    Knowledge of industry and academic prizes
  •    Some experience of working in publishing
