Boxer Books' unique approach to children's books combines inventive ideas, concepts and storylines with a strong sense of style and design. Our focus is publishing new and established international authors and illustrators, working with them to develop their personal style and create books that children and adults can enjoy together. Boxer Books has a strong international presence, publishing in the UK, USA, and Canada and licensing titles around the world in many languages.

The Administrator is based in the U.K. in our central London office.  Must have some flexibility in working hours to enable crossover with U.S. colleagues.  At least initially, this role requires 5 days/week in-office.

Depending upon experience, an employee in this position can expect £38,000 – £42,000 per annum.

Job Description:
We are seeking a full-time administrator who will take control and ownership of the functioning of the UK office for both Boxer Books and International Sales.  This role will include but not be limited to:

Responsibilities: 

  • Acting as point of contact and liaison for the UK office
  • Specific to Boxer Books:
    • Maintaining P&L summary
    • Ax memo fulfillment
      • Creating TI sheets
      • Inputting Title Management data
    • Liaising with production re costings
    • Managing dummies/proofs/advances, logging in, distribution and response.
    • Handling author care to include arranging meetings and comp copies.
    • Monitoring all files / archiving from freelancers 
    • Working with designer, keeping MFTP up to date
    • Publication schedule updates
    • Taking minutes at meetings
    • Co-ordinating freelance costs / keeping tabs on invoices, cross checking with publisher and updating P&Ls 
  • Prepping pre contracts forms / chasing contracts 
  • Providing marketing materials/assets and timely information for seasonal sales meetings
  • Obtaining materials for foreign publishers, seeking approvals, following up on shipping, P.O.’s and payment
  • Responsible for sending samples and incoming sub-rights contractual copies
  • Updating the Rights Sold database
  • Processing orders and checking stock of titles
  • Creating newsletters for agents and publishers, updating them on key titles, rights sales, new titles and pertinent publishing news
  • Creating catalogues and sell sheets 
  • Liaising with subagents to approve or draft contracts
  • Diary Management across multiple time zones.  Meeting scheduling, preparation and follow up
  • Book fair preparation and scheduling
  • Conducting research for new clients/editors
  • Managing unsolicited submissions
  • Working towards having responsibility for a secondary territory / agent

Experience and Skills

  • Experience in a trade book publishing environment, preferably in rights or export to enable an understanding of at least one of these areas
  • Proven organizational and time management skills with an international outlook
  • Excellent communication skills and fluent written and spoken English (other languages a bonus but not compulsory)
  • Confidence to present to agents/publishers/wider sales team
  • Advanced PowerPoint and Excel skills required, Vista and Edelweiss desirable
  • Ability to work independently, calmly under pressure and to tight deadlines, with excellent record-keeping and without compromising on quality
