The European Association for Cardio-Thoracic Surgery is Europe’s largest and leading membership Society for surgeons, perfusionists and health care professionals involved in cardiothoracic care and treatments. We are active in more than 50 countries worldwide and boast an engaged membership of 4,000.

We are currently seeking an experienced Managing Editor to support the Publications Director in the day-to-day operations and strategic development of the Association’s two journals and one online video textbook.

The European Journal of Cardio-Thoracic Surgery (EJCTS) is the Association’s flagship online only subscription-based journal, publishing the latest guidelines and original research. The journal is PubMed indexed with an increasing impact factor.

Interactive CardioVascular and Thoracic Surgery (ICVTS) is the Association’s pure open access title, publishing the latest research in cardiac, vascular and thoracic surgery, including cross-disciplinary research relevant to the core heart team and beyond. This online only journal is PubMed indexed with an increasing impact factor.

The Multimedia Manual for Cardiothoracic Surgery (MMCTS) is an online only publication of peer reviewed and PubMed listed video-based, step-by-step surgical tutorials. 

This role is ideally suited for an experienced journals manager, with knowledge of the major publishing trends, including open access publishing. The candidate should ideally have experience in using Editorial Manager and be comfortable with presenting at key editor meetings. This role will be offered on a hybrid basis with 2 office-based days in the EACTS Windsor Office and 3 remote working days.

JOB DESCRIPTION

Job title:  Managing Editor

Responsible to: Publications Director

Liaising with:  Authors, editors, speakers, marketing, freelance copyeditor

 

Job Purpose

To manage the associations two journals and one video textbook. The Managing Editor (ME) will oversee day-to-day running of the publications, including the submission to publication process; working with the virtual editorial office at the publisher for the two journals; and supporting on the commissioning of tutorials for MMCTS.

Main Duties and Responsibilities

All Publications

  • Oversee the submission to publication process for all publications. The ME will work with the virtual editorial office (VEO) provided by our publisher for the two journals, whilst overseeing the process for MMCTS independently.
  • Respond to queries from editors, authors, speakers, reviewers, VEO and production.
  • Support in the organisation and preparations for the publication’s meetings at the Annual Meeting each year.
  • Record meeting notes and circulate, with actions clearly highlighted.
  • Prepare and circulate quarterly reports for each publications core editor team.
  • Oversee editorial board renewals, end of terms and the invitation of new board members in consultation with the EiC’s.
  • Identity development opportunities for the publications and where approved, oversee the implementation and track success.
  • Demonstrate consistent improvements in KPIs of the publications (e.g. Submissions, usage, impact factor, turnaround times) in the journals over a period of time
  • Provide links and resources required for publications promotions to our selected communication agency.
  • Review marketing material drafted by our selected communication agency and provide feedback where required.

EJCTS/ ICVTS

  • Review and approve issue proofs.
  • Prepare presentations for and lead the editorial office meetings every 6 weeks.
  • Liaise with CTSNet RE monthly article selections for promotion.
  • Prepare annual reviewer lists for publications and a report of reviewer performance in order to identify the reviewer of the year for each publication.

MMCTS

  • Organise and lead 4-6 week calls with each of the Domain editor teams.
  • Oversee and track commissioning of tutorials/ case reports for each domain by the domain teams.
  • Prepare tutorials/ case reports for editorial review, to include combining video clips and adding title slides. Ensure quality and export as MP4 to MMCTS selected video platform under restricted access until published.
  • Liaise with authors to review and approve content, provide status updates, and capture licences to publish for each tutorial published in MMCTS.
  • Liaise with domain editors to approve tutorials for final publishing.
  • Liaise with medical copyeditor to ensure the tutorial text adheres to our unique “house style” which involves using British English spelling and grammar.
  • Liaise with the Digital Project Manager for the publication of the tutorials/ case reports.

Podcasts and Webinar Series

  • Working with the Publications Directors and Editors to launch a podcast series and various webinar series related to the publication’s portfolio.
  • Work with Editors to identity topics and speakers for podcast and webinar series.
  • Commission and track speakers for podcast and webinar series.
  • Ensure clear links between podcast episodes and webinars to relevant recent publications from EJCTS, ICVTS and MMCTS.
  • Schedule and oversee the recording of each podcast and webinar session.
  • Liaise with our selected communication agency to create template artwork for podcast episode and webinars that can then be updated for each one.

Person Specification

  • Educated to a degree level, or equivalent qualifications or experience.
  • 1-2 years demonstrable experience in scientific journals publishing.
  • Knowledge of major publishing trends, including open access publishing.
  • Experience in using Editorial Manager.
  • Proficient in using Microsoft Excel, PowerPoint and Word.
  • Strong communication skills with internal and external contacts.
  • Highly efficient and organised, with an bility to multi-task.
  • Able to confidently lead meetings and present to an audience.
