Executive Assistant

We are delighted to have partnered with a prestigious higher education institution in Oxford to support them with the recruitment of an important role in their team, Executive Assistant to the Warden.

The job entails providing high-level administrative, planning, and secretarial support to the Warden, including managing communication flow, supporting the committees, and aiding in college strategy development. The role also involves coordinating recruitment processes for various fellowship appointments.

Main responsibilities:

  • Serve as the primary liaison for the Warden, managing inquiries efficiently and confidentially
  • Coordinate the Warden's schedule, appointments, and travel arrangements, ensuring seamless logistics
  • Manage expenses related to the Warden's external commitments and sign off on authorised expenses
  • Provide administrative support for the Warden across various tasks as needed
  • Organize and support Governing Body and college committees, ensuring timely execution of actions and documentation
  • Assist in drafting policy documents, reports, and research materials to support college strategy
  • Facilitate communication between the College and external entities, compiling responses and briefings on key policy issues
  • Maintain and update college calendars, documents, and policies for reference and compliance
  • Manage fellowship recruitment processes, including coordinating interviews and maintaining personnel records
  • Organize college events and support communications efforts, including website updates and donor relations

This role requires PA experience ideally reporting to a senior executive, including dealing with confidential information, managing busy diaries and handling communication with senior stakeholders. Some experience in events coordination and project management is also beneficial.
