PA to CEO (12 month Fixed-Term Contract)

An exciting opportunity has arisen for a Personal Assistant to join a leading literary and talent agency, on a part-time (3-4 days a week) 12 month fixed-term contract, supporting the Literary Agent and Chief Executive Officer. 

The role involves providing proactive and efficient support to a busy office, providing a high level of service to literary clients and publishing partners. Your primary responsibility will be PA, administration and diary management tasks involved in supporting the CEO, including maintaining strong working relationships with high profile staff and key stakeholders, whilst remaining highly professional and acutely aware of the confidential nature of many conversations. 

You will have strong experience with complex diary and inbox management, with an approach that is calm and solutions focused. 

Key responsibilities: 

  • Meticulous diary management: scheduling all meetings and lunches, ensuring the Primary is appropriately briefed in advance. 
  • Plan complex international travel itineraries, plus the organisation of schedules for Book Fairs. 
  • Field and handle calls, post and email messages to the agent as directed. 
  • Support with tasks of a personal nature when required. 
  • Build an in-depth knowledge of the literary clients, titles and genres represented by the Agent. 
  • Assist with the organisation of promotional activities for clients (anniversaries, new publications) in liaison with editors, publicists, and cultural organisations. 
  • Support with maintaining a publication schedule for clients: liaison with clients, publishers, editors, and production team. 
  • Process the high volume of permission requests, including administrating, negotiating and finalising. 
  • Create profiles for new clients and their works on the company website, according to style guidelines, and keep client profiles up to date with new works, awards, and news.

Salary: £40,000 (FTE)
