Junior Contracts Executive (Business Affairs)

​Role Summary

An opportunity for a candidate with 12 to 18 months experience in a contracts/permissions department looking to take the next step in their career and consolidate their experience. You would be responsible for issuing and administering co-edition contracts in a timely manner; maintaining up-to-date, accurate records and filing systems; and other ad-hoc tasks across the department in general.

Key Tasks

  • General organisation and administration related to the co-edition contract function: creation on Biblio of the sub-rights sold (SRS) from the Print Instruction report, managing and updating the contracts status spreadsheet at all stages from PI to signed contract, general follow up and chasing of contracts out for signature.
  • Drafting co-edition agreements and other related paperwork as needed, including reversions, renewals, etc., (working with Head of Business Affairs & Senior Business Affairs Executive).
  • Input of signed co-edition agreements on Biblio system + loading of related scanned agreements.
  • Handling/issuing permission licences for use of Walker controlled copyright material for foreign requests (including those from our foreign licensees) with support from BA Admin Assistant as needed + informing relevant departments as and when necessary, where requests might affect them.
  • Input of signed permission agreements on Biblio system + loading of related scanned agreements.
  • Liaising with Compliance and Finance teams over invoicing & assisting in chasing for any payments due as required.
  • Accessing and inputting basic general contracts information on Biblio or other systems as required.
  • Supporting Senior Business Affairs Executive on other foreign rights agreements when needed.
  • Setting up/running regular departmental Biblio reports relating to foreign rights expiries, unfulfilled contracts, etc. Follow up and chasing as needed.
  • Attending regular meetings/liaison with Business Affairs/Compliance team with regard to legal follow through for unfulfilled agreements and/or termination of agreements/reversion of rights, as appropriate to situation.
  • Dealing with both internal and external contract and rights queries; general department gatekeeper.
  • General contracts and Business Affairs department administration: maintaining contracts files and day-to-day files and records; own correspondence.
