Logistics Coordinator (Events)
A leading speaker bureau is looking for a Logistics Coordinator to join their team to help with the day-to-day running of the live corporate events, working with the world's top motivational speakers, after dinner speakers, conference facilitators, keynote speakers, awards hosts, and comedians.
As the Logistics Coordinator you will be responsible for planning and organising all logistical event details for both client and artist, ensuring every event runs as smoothly and efficiently as possible. You will work closely with artist, talent agents, clients, and external partners to coordinate all aspects of their engagements, including travel, accommodations, briefing calls, invoicing, book orders and contracts.
Key Responsibilities:
- Working closely with clients to arrange all artist travel and accommodation
- Ensure artists travel itineraries are well-documented and communicated to all relevant parties
- Issuing all client invoices
- Issuing both client and artist contracts
- Coordinating client briefing calls
- Working closely with book publishers to coordinate all book orders
- Liaise with clients, venues, and production teams to ensure seamless running of events
- Maintain accurate records of all logistical arrangements and client preferences
- Serve as a primary point of contact for clients regarding logistical matters
- Provide timely updates and reminders to clients about their engagements and travel plans
Qualifications:
- Proven experience in events coordination or a similar role
- Strong attention to detail and problem-solving abilities.
- Exceptional communication and interpersonal skills
- Proficiency in travel booking and scheduling software
- Flexibility in working irregular hours and traveling when necessary
